  • Room and Table Reservations

Creating an event on The Bridge ("Create Event" within your club's group) allows you to submit a request for any of the following: room or table reservation, cash box or e-commerce store, off-campus trip/Motor Pool, and more. The video tutorial below details this process. Please remember to notify your moderator each time you create an event as they will need to approve it.

  • Marketing - Posting Policy and Campus Decorations

Looking to advertise your group or your upcoming event? Be sure to review the complete Student Org Posting Policy. Remember, you need to bring all flyers to the 3rd floor Student Engagement office to be stamped prior to posting. For a more sustainable option, consider submitting your design to Digital Signage and using social media where possible.

More involved displays and campus decorations such as freestanding signs, indoor and outdoor displays, and decorations for student clubs and organizations must be approved by a committee of campus administrators. For the request to be considered, it must be submitted at least two weeks before the display is to be posted.

  • Community Engagement and Service Events

The Office of Student Engagement and CCSJ have developed a set of guidelines that clubs should follow during the planning of a service or community engagement event. The document below outlines this process. Please reach out to OSE or CCSJ with any questions or concerns.

  • Loyola Catering

If your event requires food, please review the Loyola Catering Policies.

In an effort to accommodate limited budgets of student organizations, Catering has developed a no frills alternative menu for student group use. As for all catering requests, funding would need to be secured prior to placing orders

Are you planning to head off campus for your next club event?

The best (and most cost effective) way to request transportation is via Motor Pool. Here's everything you need to know about requesting off-campus travel:

1. Student drivers need to be registered in the Parking and Transportation Agile Fleet system as an approved driver. Your club must have an approved driver (or drivers) before a request can be made for a Motor Pool vehicle(s). If your club plans to go off campus for events and activities throughout the year, identify drivers ahead of time and have them complete the driver certification process.

2. Approved drivers should review the Motor Pool Policies and Emergency Protocols and the Motor Pool Key Box Tutorial. Drivers are also required to review and sign the Driver Responsibility Agreement attached to the Off Campus Travel form, to be submitted prior to leaving campus.

Requesting Motorpool

Clubs should follow the "Create Event" process on The Bridge to request transportation. Students should provide all relevant information relating to the trip (including destination, departure times, drivers, type of vehicle, etc.) Upon submission of your request (and moderator approval), OSE will request Motor Pool vehicles on the club's behalf. Drivers will receive confirmation of a vehicle reservation from Parking and Transportation when the request has been approved.

Report Off-Campus Travel

Clubs are required to submit the "Final Roster and Itinerary" form on The Bridge at least two business days in advance of their travel. This form includes a file upload of your travel roster and a file upload of OSE's Driver Responsibility Agreement. Please ensure each attendee identifies an emergency contact before submitting the form.
